Partial planning

Partial planning at Sense of Moment is for couples who have already booked their venue, and often a few key vendors, and want a planner to take over from there. Led by Olha Barabash, the team reviews every decision and contract already in place, completes the team of vendors, shapes the design into one concept, writes the run of show and runs the wedding day itself, in New York City, New Jersey, Upstate New York and beyond.
You have made the first decisions
The venue is booked, perhaps the photographer too, and the date is set. What remains is the part that decides how the day will feel: the rest of the team, the design, the timeline, the guests’ experience and the day itself.
Partial planning begins where you are. We keep what works, tell you honestly where we see risk, and carry everything from there to the last dance.
What we take on
- A review of everything in place
We read every contract you have signed, walk the venue with you, and look at the plan as a whole. Most families are relieved by how much is already right; where something needs attention, we say so early.
- The rest of the team
We recommend and book the vendors still missing, from the florist and caterer to the band and lighting, from people we trust in New York. Every new contract is reviewed before you sign it.
- One concept
We bring the choices already made into one idea, so the day feels designed rather than assembled. The palette, the paper, the table and the light follow from it. See wedding design.
- The plan and the budget
One shared plan holds the timeline, the budget, the guest list and every vendor’s arrival time, and it keeps everyone to it.
- The run of show
Written to the minute with every vendor, walked through at the venue, and rehearsed with the wedding party.
- The day itself
We lead the wedding from the first delivery to the last departure, so that you and your families are simply guests.
When to begin
The earlier partial planning begins, the more we can shape, and the closer it comes to full planning. More couples now plan on shorter notice, closer to eight months before the wedding, and partial planning suits that timeline well, once the venue is secured. On a shorter timeline some decisions come first: most custom gowns need eight months or more to make, for example. If your date is closer than that, write to us anyway: the first conversation will tell us both what is still possible.
If the venue is not yet chosen, or the wedding spans several days, countries or traditions, full planning and design is usually the better choice, because every decision affects the others.
How we work together
You have one point of contact from the first call to the last. We meet in person in New York or by video, whichever suits you, and keep one plan that everyone involved can see. Before the day, we walk the venue together at least once, with the vendors who need to see it.
How partial planning works
The first weeks
Where things stand
We review the venue, the contracts and the decisions already made, and agree with you what we will take on.
6 to 4 months before
The team and the concept
The remaining vendors are chosen and booked, and the concept, the palette and the paper take shape.
3 to 1 months before
The details
Menus are tasted, the floor plan is drawn, the flowers are designed, and the second plan for weather is set as carefully as the first.
The final weeks
The run of show
Every vendor confirmed, the timeline written to the minute, a final walkthrough at the venue, and the rehearsal.
The day
The wedding
Run from the first delivery to the last departure. Your only task is to be there.
What couples feel
That the hardest part is behind them. Couples who come to us midway often arrive with a long list of open questions and a sense that everything depends on them. Within the first weeks the list belongs to us, and the questions they bring to meetings change from what could go wrong to what they would love.

Questions couples ask
What is partial wedding planning?
Partial planning is for couples who have booked their venue, and often a few vendors, and want a planner to lead from there. We review what is in place, complete the team and the design, write the run of show and run the day.
How is partial planning different from full planning?
Full planning begins before the venue is chosen and carries every decision. Partial planning begins once the first decisions are made. Our guide to planning levels sets out the differences.
Is partial planning the same as coordination?
No. Coordination begins in the final weeks and runs a wedding that is already fully planned. Partial planning begins months earlier, so there is still time to complete the team, shape the design and change what needs changing.
When should we book partial planning?
As soon as the venue is secured. Around eight months before the wedding is common now, and earlier gives us more to shape.
Can you work with vendors we have already booked?
Yes. We work alongside them, bring them into one plan and one timeline, and tell you honestly if we see a gap.
Will the design still feel like ours?
It starts from your story and from the choices you have already made. We bring them together into one concept, so every detail of the day feels like the two of you.
How do we begin?
With a short inquiry. Olha’s office replies within one business day and arranges a first conversation.
